**The Opportunity**:
This is a fantastic opportunity for an experienced Executive Officer to work directly with the Claro Executive Leadership Team and supporting people to live happier, healthier and more independent lives
This role will primarily be working from home with the requirement to attend head office in St Kilda Road from time to time.
**You will be responsible for, but not limited to**:
- Managing General Manager’s calendars as requested
- Booking flights, hotels, transfers and function rooms within a timely manner and to travel requirements
- Preparing documents for execution by executives, ensuring accuracy and to deadlines
- Drafting and publishing memorandums on behalf of the executive team
- Accurate and timely filing and referencing of legal and executed documents
- Coordinate meetings, including distributing an agenda, facilitating conference lines as required and taking and distributing minutes
- Assisting in the construction and refinement of PowerPoint presentations
- Organising events including catering, beverages, invitations and venues in line with event requirements
- Manage external and third-party queries to the business and assess for relevance and forwarding
- Ad hoc office management as required, including reception coverage where applicable
- Set up and maintain annual calendar of meetings and events across the business
- Co-ordinate meetings with relevant stakeholders
- Ensure appropriate venue and equipment booking for events including refreshments
**To be successful in this role you will have**:
- Experience in diary management on behalf of business leaders
- Demonstrated ability to handle sensitive documentation and information with confidentiality and discretion
- Well
- developed interpersonal skills and excellent written and verbal communication skills
- Minimum 2 years’ experience in a senior management support role
- Flexible and adaptable attitude to tasks and problem solving with the ability to prioritise and manage multiple tasks and deadlines
- Intermediate to Advanced Microsoft Office skills including Word, Excel, PowerPoint and Outlook
- Proven experience of exceptional stakeholder management; ability to build and maintain relationships
- Ability to multi-task, adhere to deadlines and timeframes, have attention to detail, follow through and accept responsibility
- The ability to work in a team environment or autonomously, when required.
**Additionally, you will require**:
- Covid 19 vaccination
- NDIS Worker Screening Check (or willing to obtain)
- Current National Police Certificate (or willing to obtain)
- Evidence of full Work Rights in Australia
