**The organisation**
Our client is a private equity & property investment group that has enjoyed significant growth and success over the years. They are known for rewarding their staff and have very low staff turnover.
As a result of their success, they have created a new position for a pro-active Receptionist who will also look after the teams administration. The role offers a rare opportunity to work alongside the fund managers who established the organisation. Key stakeholders will include internal finance and compliance teams, investment partners as needed, external Accountants & Auditors and Bankers.
**The Role**
A dynamic role that will see you grow from a Receptionist to taking on more responsibility bordering into the Team Assistant space. A real opportunity to be the trusted person for a team of professionals and to jump on board and grow with the company
- Answer incoming phone calls, redirect, and take messages.
- Greet clients and visitors.
- Maintain meeting rooms & organise meeting refreshments
- Keep an inventory of office, utility and kitchen supplies and process orders as required.
- Maintain the office to an operational state - including restocking
- Organise and liaise with couriers.
- Maintain hard and soft copies of files.
- Process invoices and expenses
- Undertake ad hoc tasks as required to assist in the smooth running of the office.
- Diary management
- Scheduling meetings
- Organise travel for team
**About you**
- Proven experience as an office assistant, receptionist and/or team assistant.
- Proficiency in Microsoft Office
- Experience in using Expense Manager or a similar system is preferable.
- Exceptional organisational and time management skills.
- Excellent written and verbal communication skills and confidence in communicating with internal and external stakeholders.
- Exceptional attention to detail.
- Ability to work independently as well as part of a team.
- Ability to multi-task and willingness to assist across all aspects of office administration.
- A process improvement mindset.
