Your role is to provide exceptional administrative and personal assistant support to the Chief Operating Officer, Chief Financial Officer and the General Manager, Shopping Centres & Office Buildings to ensure the smooth running of operations. **_This is a full time_** **_contract of up to 6 months with the possibility of extension. _**
Your duties will include, but are not limited to the following;
- Extensive proactive diary management and scheduling.
- Inbox management - draft replies when required.
- Meeting preparation - ensure the COO, CFO & GM, SC & OB have all documentation required for meetings.
- Prepare agendas and take minutes for internal meetings in prescribed format and distribute to attendees as required.
- Follow up meeting action items as required and directed.
- Co-ordinate the timely execution of lease and other documentation.
- Oversee all travel, accommodation bookings and associated logistics.
- Oversee RSVPs of incoming invitations.
- Manage invitations to partners for Hawaiian events at the invitation of the COO, CFO and GM SC & OB.
- Arrange catering requirements - meetings etc.
- Greet guests on arrival, prepare meeting room and offer refreshments.
- Electronic filing on SharePoint.
- Any personal ad hoc requests as required.
Qualification Requirements
- 2-5 years’ EA / PA / TA previous experience.
- Driver’s License essential.
- Strong Microsoft Office experience and ability to quickly learn new systems with training.
- Demonstrate exceptional customer service including servicing client requirements, via telephone and in person, with maturity and empathy.
- Professional appearance and telephone manner.
