**About the role**:
The Victorian Collaborative Centre for Mental Health and Wellbeing is seeking a Governance & Secretariat Officer to play a pivotal role in ensuring the organisation's leadership and governance structures operate effectively and efficiently.
Reporting to the Manager, Performance and Governance, this role provides governance, secretariat and at times administrative support to the organisation's Board, Co-CEOS and a range of statutory and advisory committees, including the Finance, Audit and Risk Committee (FAR), the Lived and Living Experience Expert Governance Group (LLEGG).

The role is responsible for coordinating the end-to-end administration of governance processes, including preparing and distributing meeting papers, recording accurate and comprehensive minutes, maintaining action registers, managing member engagement, and overseeing compliance documentation. This requires a high level of discretion, and the ability to work confidentially with sensitive information.

Beyond procedural responsibilities, the Governance & Secretariat Officer contributes to building an inclusive governance environment, ensuring the meaningful engagement and participation of people with lived and living experience of mental ill-health or psychological distress, and carers, families, supporters and kin. This includes working collaboratively with diverse stakeholders, adapting communication styles, and facilitating the sharing of information to improve transparency and decision-making.

**About your accountablities**:

- Work closely with the Co-Ceo's, Board and advisory committees to support members in fulfilling their statutory and advisory responsibilities.
- Organise and sequence Board and committee meetings, prepare and distribute agendas and papers, record minutes and conflict of interest declarations, maintain action registers, coordinate document approval and distribution, oversee project governance and reporting, and manage member engagement, participation, and remuneration.
- Ensure the Centre meets its governance, compliance, and legislative obligations under relevant Acts and public sector standards.
- Monitor and evaluate secretariat services, identifying governance risks, issues, and opportunities for continuous improvement.
- Assist with other ad-hoc secretariat and executive assistant tasks as required.
- Develop and implement processes or strategies to ensure the meaningful engagement and full participation of those with lived and living experiences within the Collaborative Centre's governance structures.
- Model public sector values, contribute to organisational priorities, and comply with occupational health and safety, information security, and privacy obligations.
