**The Role**:
The Administration Assistant plays a key role in supporting the smooth day-to-day running of the Perth Studio. This role provides administrative and operational support to the Studio Director, National Practice Manager, and the wider team as required.
**Duties include**:
- Provide general administrative support to the Studio Director and wider team.
- Act as the first point of contact for visitors and maintain a professional, welcoming presence.
- Assist with studio coordination including maintenance, cleaning, and liaising with contractors.
- Support the end-of-year studio shut down process.
- Assist with timesheet entry and other administrative tasks as required.
- Maintain positive working relationships with clients, consultants, and industry contacts.
Events and Marketing:
- Assist with organising studio events, including mid-year and end-of-year functions.
- Help coordinate invitations, mailing lists, and client gifts.
- Support internal and external communications, photography, and event logistics.
Travel Coordination:
- Assist with travel bookings for studio team members (domestic and international).
- Help manage changes, credits, and reimbursements.
- Maintain accurate travel records and spreadsheets.
- Assist with documentation for visas, passports, permits, and travel insurance claims.
People & Culture:
- Support onboarding for new starters (arranging IT, payroll, training sessions, and inductions).
- Track leave requests, flexible working arrangements, and public holiday swaps, and communicate with Payroll/P&C where required.
- Help schedule probation check-ins and development meetings.
- Assist with offboarding administration (notifying Payroll, IT, and P&C).
- Assist with training coordination (CPD sessions, white card training, first aid).
- Track and support compliance-related training and certifications.
**Qualifications and Experience**:
- Certificate IV in Business Administration (or equivalent experience).
- 2+ years’ experience in an administration or office support role (experience in an architectural or design studio environment advantageous).
- Strong organisational and communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new systems.
**Remuneration**:
Commensurate with experience and ability.
