**Who we are**
Biosecurity Operations Division delivers nationally integrated biosecurity and imported food regulatory activities to ensure goods, conveyances and travellers meet Australia's import requirements. Division operations include policy and regulatory control setting across imported food and biosecurity risk pathways, as well as the delivery of assessment, inspection, community engagement and contact centre services. The division also partners with industry to improve the delivery of regulatory functions. The division spans a range of regulatory activities that plays a critical role in reducing risk and shaping our nation to become one of the few countries in the world to remain free from the world’s most severe pests and diseases.
The Workforce Management Group are responsible for developing rosters, schedules, workload forecasts and capacity plans to strategically deploy resources within the Biosecurity Operations Division (BOD). The Workforce Management Group engage with operational teams and enabling groups to analyse workloads and resourcing, optimise operational capacity and deploy frontline officers.
**The Job**
Schedulers develop rosters and/or schedules to nationally deploy BOD resources. Schedulers have a good general understanding of operations and understand the purpose of workforce management. Schedulers are responsible for:
- developing rosters and/or schedules in departmental systems, in line with policies and procedures
- maintaining the currency of information in appropriate systems and documentation
- preparing a range of written material, including maintaining instructional material and corporate documentation, and liaising with internal stakeholders in relation to content
- intermediate data analysis and problem solving
- administrative support including report preparation and shared mailbox management
- supporting projects and innovation, including gathering information, reviewing processes and making recommendations
- adapting to change and support change management, particularly where it relates to workforce management products, systems and procedures
- organising own workflow and monitoring team workload priorities and timeframes to deliver quality outcomes
- supporting relationships with internal stakeholders to achieve work area and departmental goals
- exercise appropriate delegations in accordance with policy, processes and guidelines.
- Skills and Capabilities_
The successful applicants will have the ability to:
- interpret data, identify issues and research and develop/implement innovative solutions within defined frameworks
- provide procedural and administrative support including maintaining good attention to detail
- prioritise workload for self, monitor team workload and timeframes whilst also managing competing priorities
- work collaboratively in a national team and adapt to a changing environment
- communicate effectively in a virtual environment and adapt communication styles appropriate to the audience
- identify areas for efficiency and improvement.
- use Microsoft Excel at an intermediate level and Power BI at a basic level.
- Knowledge and experience_
- Workforce management experience.
- An understanding of the department’s role in delivering national biosecurity operations.
- An understanding of legislation, policies, procedures and information management requirements.
- An understanding of relevant business systems and tools or the ability to quickly acquire such knowledge.
