The role

This role is responsible for the administrative tasks with the Maintenance & Facilities department. Responsibilities include processing of invoices; data entry and tracking of spend against budgets. This role liaises with the Group Retail Maintenance & Facilities Manager, Maintenance & Facilities Coordinators, internal accounts department, contractors & suppliers.

Key responsibilities
- Process department invoices for submission to accounts department
- Collate all work requests associated with invoices
- Reconciling all invoices to budget and ensuring all works are invoiced as per quote
- Coordination of scheduled servicing, ensuring all services are completed on time and reports are uploaded into the maintenance system
- Keep accurate records of all scheduled servicing and energy related data
- Invoice management and collation, liaising with accounts as required
- Maintain tracking of all spending against budgets
- Generate reports from the FRC Maintenance system
- Update department reports
- Develop and maintain relationships with internal / external stakeholders
- Contribute to the development of the FRC Maintenance system
- Contribute to the department store audit administration process
- Contribute to the improvement of processes, efficiencies & costs.
- Previous facilities experience (preferred)
- Strong communication skills
- Strong time management and organisational skills
- Willingness to learn, display initiative and take on new responsibilities
- A proactive approach to problem identification & resolution
- The ability to meet deadlines and manage confidential information
- High level attention to detail & accuracy.
