This is an opportunity for you to work for a not-for-profit boutique organisation in the workforce planning and development space. In a central CBD location you will be part of a collaborative and supportive work that values its people. You will provide administrative and executive support to the CEO while working collaboratively with other team members in a small but busy office, managing your own and the CEO’s workflow in a proactive manner, meeting required deadlines.

The key duties of this role are:

- Day to day diary and calendar management for the CEO, including arranging and scheduling meetings, speaking engagements, etc.
- Manage the end-to-end Board and Committee meetings processes including Board papers
- Prepare meeting papers, agendas and other documents in advance of the CEO’s scheduled meetings
- Draft correspondence on behalf of the CEO
- Transcribe handwritten notes taken by the CEO and prepare them for filing or distribution as required
- Assist in co-ordination of projects as required
- Attend meetings and record minutes as required
- Handle and prioritise all outgoing and incoming correspondence for the CEO
- Reconcile the CEO’s credit cards and expenses
- Screen and direct phone calls and distribute correspondence
- Organise travel and accommodation for the CEO, staff and Board members as required
- Assist with answering incoming calls, handling enquiries and referring queries to the appropriate staff member
- Assist with general administrative duties such as printing, photocopying and the setting up of meeting rooms, etc. as required
- Carry out other tasks from time to time as required by management, to contribute to the overall success of the organisation
- Maintain records of interactions with stakeholders, partners and customers into the CRM database
- May assist the CFO with ISO recertification and audit processes.

To be successful you will need:

- Demonstrated experience working as an Executive Assistant within a small team
- Outstanding attention to detail and accuracy
- Proven ability to draft correspondence and prepare documents and presentations
- Excellent written and verbal communication skills and demonstrated experience in dealing with high-level stakeholders and customers
- Extensive experience in calendar management in a busy and ever-changing environment
- Versatile, flexible, polished and professional manner
- Strong work ethic, initiative and problem-solving skills
- Strong time-management skills and ability to prioritise and schedule work to meet deadlines
- Advanced skills in MS Office software, including Outlook, Word, Excel, PowerPoint, Publisher and Project and demonstrated ability to learn new software systems quickly.

**Salary**: $90,000.00 - $110,000.00 per year
