
Administration & Business Support Officer

**The role**
As part of the Sydney based head-office of Wexco Group & Wexco NZ, the position will be responsible for delivering management and team support.
You will be responsible for ensuring the smooth operation of the offices in Australia & New Zealand, organise the internal and customer events, source the marketing collaterals, and assist with activities related to finance and sales operations.
**Key responsibilities**
**Office Management**
- Ensure smooth operation of the various Wexco offices within Australia & New Zealand.
- Manage office supplies stock and manage orders.
- Manage the office equipment including maintenance and consumables.
- Liaise as required with premises management
**Marketing**
- Organise “Internal events” and “Customer events” from start to finish (including planning, invitations; coordination, supplier selection & management) within a specified timeframe and budget.
- Develop and implement marketing materials (including gifts and marketing collaterals) for each relevant carrier in our portfolio. Identify best practice initiatives to promote the Wexco brand.
- Organise procurement of marketing collateral
- Support the sales teams in relation to marketing activities.
**Management support**
- Assist the Executive Management with contract documentation and Supplier management.
- Manage the onboarding program of new staff members.
- Arrange flight / travel / accommodation.
- Maintain and update company databases.
- Answer queries by employees and clients.
- Maintain a company calendar and schedule appointments.
- Prepare analysis, reports, and presentations for Wexco Management
**Finance support**
- Assist the Finance Manager in bookkeeping, invoicing, and financial reporting activities.
- Assist management in resolving finance & accounting related queries from internal and external parties.
- Prepare regular reports on expenses and manage the asset register.
- Support budgeting process.
**Operations support**
- Update & manage the company customer database and professionalize the company presentation document.
- Research as required projects directed by management.
- Prepare reports and presentations with statistical data if needed.
**Knowledge, skills and abilities**
- Proven work experience as an Administrative Officer or similar role
- Advanced organisation, time management and scheduling skills
- Attention to detail and problem-solving attitude.
- Excellent written and verbal communication skills
- Proven experience in customer service
- Proficient in MS Office Suite (MS Excel, MS Word and MS PowerPoint specifically)
- Applicants will have the right to work in Australia permanently.
**Education and experience**
- Higher School Certificate (HSC)
- Additional qualifications in Office Administration are a plus

**Salary**: $70,000.00 - $75,000.00 per year
