The Property Administrator is a key player in the Legal and Property team, under the management of a Property Accountant whom would support the responsibility of all administrative duties in relation to our client's property portfolio, including the invoicing property matters which are recorded into the Property Management System and AX, and compliance monitoring, including overseeing and reviewing tenant insurance obligations and dashboard reporting.

Your responsibilities includes but are not limited to the following:

- Process legal, property invoices, rent and recoveries from tenants
- Assist in maintaining Property Management System & inputting all changes in alignment with the data governance framework
- Support the Property Accountant (PA) and Senior Property Managers (SPMs) to provide up to date property information, such as, critical dates management, CPI, outgoings and other as required.
- Provide visibility of property performance and compliance via monthly dashboard reporting on revenue, costs, cash, market reviews and compliance matters, this is prepared in liaison with the Finance team.
- Directly engage with tenants regarding updating insurance certificate of currencies.
- Monitor the team’s performance against targets by taking an active role in liaising with SPMs to document compliance with lease and business objectives.
- Assist PA in preparing reconciliations for land tax, council rates and water rates for payment to software via AX and recovery of the same from tenants.
- Assist PA is in the preparation of the annual outgoings and precinct levy budget setting and reconciliations, including updating the Property Management System.
- Manage the team’s procurement processing including, blanket PO management and tracking, seeking approval and payment.
- Maintain up to date cost tracking tool (Excel) by PO & project codes as per approved budget.
- Liaise with Finance team for end of month accruals and system reconciliations.
- Manage the Property mailbox as first point of contact for tenant enquiries.
- Ad hoc projects as directed by the PA.
- Monitor stock levels, purchase office supplies, including stationery (fortnightly and adhoc).

- Excellent attention to detail.
- Strong interpersonal skills and demonstrated ability to interact with a diverse range of stakeholders.
- Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly.
- Excellent verbal communication and written communication skills.
- High level of professionalism and demonstrated ability to handle confidential information accordingly.
- Strong analytical and problem-solving skills.
- Excellent decision-making abilities and ability to cope under pressure.
- Demonstrated initiative, positive attitude, flexibility and self-management skills and a strong sense of teamwork.
- Advanced PC skills in Microsoft Office, specifically Excel (e.g., formulas, Pivot Table, V look up), Outlooks, and Word.
