Executive Assistant/project Officer

The role provides executive support services to the Executives in the branch and requires demonstrated attention to detail, teamwork, and effective communication.
The role requires the provision of wide ranging administrative, secretariat and support functions, and is the key point of contact for key stakeholders from a diverse range of organizations, government, private, public and community services.
**Accountabilities**:

- Provide a range of effective executive support functions, including accurately managing daily business operations; providing quality support to Executives, including progress reports on outstanding matters; and preparing reports, briefs, and correspondence.
- Effectively review and improve office processes and maintain corporate information systems for records management, travel management, and ministerial correspondence being advanced user of Departmental Briefing system OurBriefings.
- Support the full life cycle of projects to meet departmental objectives including project development and delivery, monitoring and evaluation.
- Assist in the preparation and presentation of reports, ministerial briefs, record keeping of meetings and town planning submissions.
- Manage and help support branch related payment matters using Oracle system if required.
- Support stakeholder engagement activities including scheduling and coordinating meetings and workshops, preparing agendas and minutes, distribution of meeting papers and follow up of actions arising from meetings.
- Develop, implement, and maintain efficient project administration systems including document tracking and control and proactively creating and implementing new systems to streamline processed.
- Keep accurate and complete records of your work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
