Key duties and accountabilities
- Provide administrative support that ensures the Deputy Director
- General/Executive Manager is responsive to stakeholder needs.
- Develop and maintain administrative systems to effectively assist the office of the Deputy Director-General in its workload and priorities.
- Co-ordinate the preparation of materials to support the Deputy Director-General and Executive Manager at various meetings and events, which includes managing briefing materials, agenda management and following up actions arising from meetings.
- Provide high level support to Executive Officer for event management, coordination and support and communication activities.
- Monitor and coordinate performance outcomes and prepare monthly reporting requirements.
- Responsible for the preparation and maintenance of Conflict of Interest, Contracts, Gifts, Lobbyist and Complaints registers for the ODDG.
- Coordinate and undertake resource maintenance and purchases, asset registers, and provide financial, human resource and procurement support to the Office of the Director-General. Financial processing activities include purchasing, reconciling corporate card transactions, processing travel claims, and maintaining the gift register. Human resource, procurement and financial advice to be provided in consultation with local specialist HR and Finance officers.
- Support the management of incoming and outgoing correspondence, briefs and reports to ensure their accuracy, including tracking and allocation of items to relevant business areas.
- Maintain a high level of understanding of departmental activities, services, organisation arrangements and protocols and provide advice on current and emerging issues.
- Co-ordinate domestic travel and bookings for Deputy Director-General, Executive Directors, and their teams. This may include itinerary planning when required.
- Other duties as directed and required.
