**Position Objective**
The purpose of this role is to support the Property Operations Department in managing, leading, developing and growing an effective, empowered team of property and maintenance staff across the business in an efficient and sustainable manner.
The Contract Administrator is responsible for deliver the efficient, cost effective operation, maintenance and development of all services across the residential portfolio and ensure plant reliability, consumer satisfaction, sustainability and preservation of property assets; and safety of all services and systems, essential services, building structure and risk management.
**Qualifications / Experience / Skills Required / Personal Attributes**
**Essential**
- Minimum 5 years’ experience in the property industry/building facilities/management related discipline;
- Tertiary Qualification in Facilities Management or Building Services related discipline or similar;
- Experience with Facilities Management software systems used for works scheduling;
- Experience in contractor management in building environment;
- Demonstrate ability to draft contracts per the requirements of the business
- High level of accuracy and attention to detail
- Effective communication skills, particularly when liaising with other departments or external organisations such as clients, suppliers and regulators
**Desirable**
- Qualifications related to contract negotiation and administration
**Key Accountabilities**
**General**
- Asset Management, maintain accurate and up-to-date records of all facility-related assets, including equipment, machinery, and vehicles, and oversee their maintenance and repair.
- Project Management, oversee facilities-related projects from planning to execution, ensuring that projects are completed on time, within budget, and to the required quality standards.
- Continuous Improvement, continuously review and improve facility-related processes, policies, and procedures, to optimize efficiency and ensure compliance with regulatory requirements.
**Contract Administration & Management**
- Review required service contract variations and ensure all communications and correspondence with suppliers and internal customers is recorded on contract files.
- Create requests for tender documents or quotation specifications for potential suppliers as required
- In collaboration with Procurement, draft, negotiate and revise contracts that are legally binding for the suppliers and BlueCross.
- Establishing contract terms and conditions including service levels, fees and financial obligations
- Issue notices to external suppliers when breaches of contract maybe identified, If required, instruct service contractors, supervise their attendance and monitor their performance at the building and ensure that remedial action is implemented
**Financial Analysis & Reporting**
- Establish pricing agreements for service contracts that are market competitive and ensure suppliers adhere to the contracted pricing structures.
- Provide reports to senior management for monthly reports on supplier compliance, expenditure, and general issues.
- Assist in managing operating expenditure to ensure Property Operations achieve projected budgets
- Track supplier payments and deadlines to track budgets.
- Use General Ledger codes to ensure supplier invoicing is coded to correct budget lines.
