BGIS - global leader in facility management is currently experiencing strong company growth and require a Facilities Coordinator to join our team.

**The Role**

This role is based in** Richmond**

To be successful for the required Security Clearance, you must be an **Australian Citizen**.
- Manage and maintain the CMMS system capturing all Preventative and Reactive work orders for the site/s;
- Delegate and allocate work orders as required to ensure contract requirements and KPI's are achieved;
- Support and assist the Contract Manager / Facilities Managers on daily tasks as required;
- Review all invoices before issuing them to the Senior Facilities Manager / Contract Manager for approval.
- Manage the requisitioning of office supplies ensuring expenditure is maintained within budget.
- Maintain and update Purchase Order Register including updates from MRI;
- Ensure office supply invoices and WO's are submitted to the Assistant Accountant for payment.
- Assist in the development and management of annual budgets for the implementation of facilities management initiatives to the client.
- Respond to reported issues and coordinate efficient and effective responses;
- Schedule and supervise the service contracts to ensure that they are performed to the levels and for the frequencies as set out in the individual Service Contracts. This will include scheduling and supervision of essential services and other statutory maintenance inspections and certifications.
- Monitor job requests and follow up to ensure completion. Provide feedback to the client when required for overdue works.
- Assist with the management of subcontractors such as:

- Collection of subcontractor documentation;
- Sign in/out of Subcontractors;
- Review of subcontractor OHS documentation; and
- Management of insurance currency.
- Conduct periodic maintenance inspections of services, plant and equipment.
- Maintain and periodically recommend to the Clients appropriate updates to documentation to reflect any changes to the Building.
- Maintain the after-hours on-call system, ensuring after-hours coverage is maintained at all times.
- Ensure compliance with relevant laws, regulations, codes, and standards.
- Understand the WHSE requirements and processes for work tasks and the elimination of workplace hazards.

**Skills and Experience**
- Strong demonstrated experience in a property or corporate real estate environment or at a senior level in a similarly complex industry.
- Proven ability in working within an integrated services and property model delivering a Property Management, Facilities Management, Project Management, and Financial Management Services.
- Demonstrated experience in providing written reports and recommendations;
- Demonstrated experience in multi-tasking of various duties.
- Proven capability of working within an environment using QA, OH&S and environmental systems.
- Able to respond quickly to change and adopt a flexible/ innovative approach to problems and opportunities.
- Knowledge and experience in the use of a Computerised Maintenance Management System knowledge (CMMS).
- Formal tertiary qualifications in building/facilities management related discipline.
- Training in current OH&S, QA and ideally environmental legislation and systems.
- Current First Aid Certificate, is highly preferred.
