In the role of Correspondence and Records Coordinator you will facilitate high-level divisional correspondence in conjunction with the Senior Correspondence Advisor and the broader correspondence team. You will also assist with divisional information and records management activities.

**Accountabilities include**:

- Correspondence:

- Coordinate, compile, edit and process the division's executive and ministerial correspondence, briefing notes, parliamentary requests and other correspondence in a timely and effective manner.
- Prioritise incoming documents and relay promptly to divisional action officers for the preparation of draft replies in accordance with corporate standards and protocols.
- Monitor the standard of divisional correspondence for timeliness, content and standards in accordance with government and departmental policies. Monitor responses for these issues and negotiate changes as necessary.
- Monitor systems and processes to ensure the division meets deadlines for executive and ministerial correspondence.
- Information management and recordkeeping:

- Provide advice and support to PPI management and staff regarding information and records management in accordance with departmental policies and procedures.
- Support PPI's information management and recordkeeping compliance program through auditing and analysing finalised DMS profiles. Educate and assist clients in information management and recordkeeping.
- Provide information and records management system training to PPI staff.

**o Provide archival records services including**: appraisal, sentencing, disposal, storage and preservation of records.
- Ensure appropriate processes are followed for the transfer or destruction of documents.
- Retrieval records on behalf of the division.
- Carry out administrative tasks in accordance with divisional, departmental or government procedures, policies, legislation, standards and directives.
- Liaise, consult and maintain effective relationships with team members, and internal and external clients.
- Deliver tasks and activities individually or as a team member, with an emphasis on meeting deadlines within quality and time constraints.
- Actively participate in performance conversations to build and support a culture of performance improvement.

This position reports to the Principal Advisor (Correspondence).
