**Job description**

Joining our Company Secretariat office team, this role will see you providing high quality services to the customers of Board Services and contribute to a high performing, customer-focused team.

**Key Responsibilities**
- Take the lead and initiative in terms of managing Subsidiary Board, Committee and Management Committee processes by attending to the preparation and distribution of papers, agendas, minutes, standing items, matters arising, circular resolutions and other related tasks.
- Respond and coordinate responses to requests for statutory records and corporate information.
- Filing and maintaining company registers and statutory records.
- Maintain and manage the Diligent portal.
- Manage all aspects of the Subsidiary Boards’ Director Contact List.
- Arrange, manage and communicate the logistics (including calendar invites) for subsidiary Board and Committee meetings and Management Committees (where applicable).
- Update any changes (as required) to the CSO intranet pages.
- Be the central liaison person for subsidiary Board Director communications and interactions.
- Assist with other projects from time to time, including with processes for the Main Boards when required.
- Provide administrative and operational support to the Executive Manager (Subsidiaries) and Company Secretaries within the Subsidiaries team.
- Work collaboratively with the Listed team and the Regulatory & Lodgements Officer within the team.
- Conduct risk control testing and other risk management activities require of the CSO team.

**Skills & Experience**
- Minimum 3 years relevant Board Administrator/Governance Officer experience.
- Strong written and verbal communication skills.
- Have or are working towards governance qualification e.g., Certificate or Diploma at Governance Institute of Australia (GIA) (or equivalent).
- Advanced Microsoft Office skills (Word, PowerPoint and Excel).
- Experience with Global Entity Management System or equivalent entity management software.
- Highly organised with excellent time management skills.
- Effective decision making and delegation skills.
- Strong attention to detail.
- Strict adherence to confidentiality at all times.
- Ability to work autonomously and use initiative to drive success.
