**Board Coordinator and Secretariat Assistant**
**| Location - Sydney**

Work alongside the Board Secretariat Coordinator providing secretariat support to the Group Company Secretary, and wider Company Secretariat team and to provide Board administrative support in relation to various companies and Management Committees as required.

**What are you going to do?**
- Provide Board administrative support in relation to the Group’s companies and Management Committee meetings, ensuring agendas and actions are prepared and completed in relevance to current / ongoing business activities.
- Ensure all meeting logistics are diligently conducted, including booking of meeting rooms, sending meeting invites and organising catering.
- Collate papers from the business units for the Board / Committee / Management meetings accurately and co-ordinate and upload to the Diligent portal within tight time frames.
- Communicate with Senior Management, Directors, and their executive assistant’s and business partners, as required, to support the smooth running of the meetings from a logístical perspective
- Maintain the relevant Corporate Registers and Records and Company Secretariat document files.
- Attend to photocopying, and other administrative tasks, as required for the Company Secretaries
- Administer and maintain databases, document control and filing systems in accordance with AAL policies and procedures.

**What will you bring to the table?**
- Experience in secretarial and Board administration experience at a senior level in a corporate environment, with ASX listed company or law firm experience.
- Experience working directly with senior stakeholders relating to the Company Secretariat Team, including Boards, Managing Director and Senior Management.
- Demonstrated evidence of technical proficiency with Diligent electronic board paper portal and relevant systems, software, databases, reporting and communication tools.
- Excellent verbal and written communication skills, capable of communicating with clarity, impact and influence.
- High attention to detail by completing tasks with thoroughness and accuracy and the ability to quickly identify errors or inconsistencies within information.
- Demonstrated evidence of energetic, proactive approach to problem solving, with strong decision-making capabilities.
- Demonstrated ability to be agile and to work within a changing environment, making positive process improvements.
- Demonstrated ability to deal with confidential information with discretion and integrity.
- Ability to plan and prioritise effectively, organise tasks and manage competing resources and demands.
- Ability to manage internal and external client expectations to ensure matters are appropriately triaged and dealt with in accordance with an agreed timeline and scope.
