**About the role**

In this role you will be able to share your expertise and skills as part of a collaborative, high-quality team. 

This position would suit a highly organised individual with experience managing bookkeeping and office processes.

Key Responsibilities:
General Administration:

- Maintain and organize records, documents, and filing systems in compliance with confidentiality requirements.
- Ensure all enrolment, fee, and referral documentation is accurate and up-to-date.
- Oversee procurement and ordering of office supplies and preschool resources.

Financial Administration:

- Prepare and manage accounts payable, payroll and receivable using Xero and other accounting platforms.
- Generate invoices, reconcile payments, and follow up on outstanding fees.
- Ensure accurate financial reporting and compliance with funding guidelines, including Start Strong funding.

Collaboration and Communication:

- Build and maintain positive relationships with families, educators, staff, and management.
- Promote clear communication between the office, classrooms, and families.
- Support the Managing Director and Nominated Supervisor with enrolment processes and other administrative tasks.

Compliance and Quality Standards:

- Adhere to National Quality Standards (NQS), Education and Care Services National Law, and relevant regulations.
- Maintain and update policies, procedures, and compliance documentation.
- Assist with audits, risk assessments, and workplace health and safety compliance.

Other Duties:

- Support marketing efforts, including managing social media platforms and preparing newsletters.
- Participate in staff training, professional development, and team meetings.
- Organize and coordinate fundraising events and parent engagement activities.

Qualifications and Experience:
Essential:

- Minimum 2 years of experience in an office administration role, preferably in a childcare or community care setting.
- Proficiency in Microsoft Office Suite and information management systems.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Valid Working with Children Check and National Police Check Clearance.

Preferred:

- Experience using OWNA, Xero, or other management software.
- Familiarity with childcare funding guidelines and Family Assistance Law compliance.
- Qualifications in Clerical & Administrative or Early Childhood Education (advantageous).
- Knowledge of workplace health and safety practices.
