**Our Opportunity**

The Executive Assistant reports to the Director of Finance and Operations and provides a range of high-level executive and office support services to the President, Executive Director and the Finance and Operations team at the Australian Law Reform Commission (ALRC). This includes managing executive diaries, stakeholder engagement, travel arrangements, event coordination, office logistics, human resources duties, and day-to-day operational needs.

The role demands excellent organisational and stakeholder management skills, and the ability to manage competing priorities while maintaining a high standard of professionalism and confidentiality.

**Who are we looking for?**

**Key Responsibilities**:
The role will be responsible for providing high-level executive assistant, administrative and office support to:

- The ALRC President & Executive Director including, but not limited to:

- arranging travel, ensuring all logístical aspects are covered from booking cost-effective travel to preparing required documentation
- engaging with stakeholders and supporting stakeholder meetings
- transcription services for the President.
- The Finance & Operations team including, but not limited to:

- ensuring adherence to internal policies and processes for document development, obtaining delegations/approvals, and managing procurement, payments, and account reconciliations
- coordinating and drafting parliamentary requests including Senate and Budget Estimate briefings and Questions on Notice
- arranging travel for team members and maintaining the travel budget.
- Human Resources and Office Management including, but not limited to:

- overseeing the day-to-day functioning of the office including: managing office supplies, visitor attendance and mail collection; liaising with building management/security; procurement and tracking of IT equipment/supplies/subscriptions; support the organisation to coordinate and deliver functions and events
- coordinating, tracking and responding (as appropriate) to incoming correspondence to external facing mailboxes, including referral to staff
- establishing strong working relationships across Attorney-General’s Department and other relevant Government departments to represent the ALRC in a professional, respectful and courteous manner.

**Essential**
- Experience as an Executive Officer/Executive Assistant, Administrative Officer or Business Manager, preferably within an Australian Government agency

**Selection Criteria**:

- Proficiency with M365 Office suite of software and familiarity with IT systems (e.g. SharePoint) is essential
- Critical thinker who is able to proactively scan and anticipate the needs of Senior Leadership to support them, prioritise workloads, and exercise flexibility and resilience to problem-solve
- Highly organised self-starter, who works independently and collaboratively with all stakeholders, to consistently deliver high-quality outcomes
- Multitasker experienced in managing high volumes of work with fast turnaround, adapts to challenges and actively engages within and across teams to support organisational goals and priorities
- Capable of strategic thinking, evaluating complex information from various sources to make informed decisions, and exercising strong discretion in a position of trust.
