**Job Summary**:
The Operations Coordinator will support the Operations Manager in overseeing daily operational functions, ensuring efficient workflow and compliance with company standards. This role integrates administrative and operational responsibilities, focusing on business processes, project coordination, document control, compliance, and internal support.
The Operations Coordinator will assist in contract management, internal audits, and operational efficiency improvements. Additionally, they will play a key role in managing communication, maintaining records, supporting staff onboarding, and implementing ISO-aligned quality and compliance procedures.
A key aspect of this role includes tendering support, assisting in the preparation of tender submissions, managing documentation, and tracking contract progress to ensure alignment with operational objectives.
**Duties/Responsibilities**:
- Tender, Contract & Procurement Management:
- Assist in the preparation of tender submissions, ensuring all required documentation is compiled and submitted accurately and on time.
- Maintain tender and contract records, tracking progress, submissions, and compliance with legal, insurance, and financial requirements.
- Support the Operations Manager in reviewing and managing contract terms, ensuring alignment with company policies and industry regulations.
- Assist in coordinating procurement processes, ensuring operational needs align with contractual obligations.
- Document Control & Administration:
- Oversee document control processes, ensuring all operational, tender, and project-related records comply with ISO standards.
- Maintain accurate data in internal systems, including CRM and Project Management platforms.
- Assist in preparing reports, tracking operational performance, and ensuring records are well-organized and accessible.
- Operations & Compliance Support:
- Assist the Operations Manager in maintaining and improving operational workflows, ensuring adherence to company policies and industry standards.
- Support the implementation and continuous improvement of ISO 9001, 45001, and 14001 compliance, including documentation, internal audits, and corrective actions.
- Coordinate internal process documentation, performance tracking, and compliance reporting.
- Identify opportunities for operational improvements and efficiency gains across departments.
- Audit & Process Improvement:
- Assist in conducting internal audits, compiling reports, and identifying areas for process enhancement.
- Collaborate with departments to ensure operational processes are well-documented and aligned with quality management systems.
- Staff Onboarding & Internal Support:
- Facilitate staff onboarding, including document preparation, system setup, and orientation coordination.
- Assist in training initiatives, ensuring employees are informed of operational procedures and compliance requirements.
- Support performance tracking and provide input on operational efficiency improvements.
**Required Skills**:
- Strong organizational and project coordination skills, with the ability to manage multiple priorities.
- Excellent problem-solving abilities and analytical skills for process improvement.
- High attention to detail, particularly in contract management, documentation, and compliance tracking.
- Proficiency in Microsoft Office Suite and operational management tools
- Effective verbal and written communication skills, with experience in professional correspondence.
- Knowledge of ISO standards and compliance frameworks (9001, 45001, 14001) is an advantage.
**Qualifications and Experience**:
- Minimum 2 years’ experience in operations, administration, or business support (engineering / construction industry preferred).
- Experience in tendering, contract administration, or document control is highly desirable.
- Tertiary qualification in Business Administration, Operations Management, or a related field is desirable.
- Demonstrated ability to manage administrative and operational tasks in a structured business environment.
- Understanding of contract management, compliance, and process improvement within an operational framework.
- Valid NSW Driver’s License.
Pay: $70,000.00 - $85,000.00 per year
