**Introduction**:
Valeo Construction Group is seeking an experienced Program / Project Administrator to support our growing portfolio of residential and commercial construction projects.
This role focuses on post-construction coordination, defect management, and project administration, playing a crucial part in delivering high-quality outcomes and exceptional client experiences.
**Description**:
About the Role
You will be responsible for overseeing activities that support the successful delivery and handover of construction projects. Working closely with the Project Manager, site teams, trades, and clients, you will ensure smooth coordination of works, documentation, and communication through the post-construction phase.
Key Responsibilities
Project Coordination & Administration
Manage day-to-day project support functions including scheduling, document control, and progress reporting.
Coordinate and monitor post-construction and defect rectification activities to ensure timely completion.
Handle RFQs, trade allocations, and subcontractor coordination.
Maintain accurate project records including handover documentation, permits, and warranties.
Prepare and distribute regular status reports, schedules, and meeting minutes.
Stakeholder Engagement & Client Interface
Act as the liaison between clients, consultants, trades, and internal teams during the post-construction stage.
Respond to client inquiries and address concerns in a timely and professional manner.
Participate in client walkthroughs and assist in managing purchaser upgrades and variations.
Ensure clear communication of project updates and expectations to all parties.
Variation & Change Management
Assist in identifying, documenting, and administering variations to projects and services.
Coordinate approvals and ensure variations are recorded and tracked accurately.
Work closely with senior staff to support decision-making and project delivery outcomes.
Quality & Progress Oversight
Conduct site inspections to verify completion of works and ensure compliance with project standards.
Monitor contractor performance, reporting on progress and identifying any required follow-up actions.
Support the team in ensuring work orders are delivered as per contractual and quality expectations.
Data & Reporting
Collate and review project information to track delivery performance and handover status.
Assist in preparing reports, submissions, and closeout documentation.
Provide insights to the team to support continuous improvement and effective project delivery.
**Skills and Experiences**:
Skills & Experience
Proven experience in project administration or coordination within the construction industry.
Strong understanding of post-construction processes and defect management.
Excellent communication and interpersonal skills for effective stakeholder engagement.
Strong attention to detail with the ability to manage multiple priorities.
Proficiency in Microsoft Office (Excel, Word, Outlook); experience with project systems (e.g., Procore, Aconex) desirable.
Knowledge of construction processes, timelines, and standards is advantageous.

**Qualifications**:
Degree or diploma in Construction Management, Business Administration, Project Management, or a related discipline.
Relevant industry certifications are highly regarded (e.g., WHS, QA, or Defect Management).
Current White Card preferred.
