
Administrative Assistant

**THE OPPORTUNITY**
You will provide effective and consistent administrative and clerical support to a business unit or team, in matters relating to that team's area of responsibility. Support may be provided to one or more directors, managers or department staff at any given time. Working closely with your direct team members, you will be responsible for effectively accomplishing daily tasks necessary to improve communication and organization across or within the business unit or team.
**Primary Responsibilities**
- Effectively & consistently providing the business with administrative and clerical support
- Collaborating with internal and external Stakeholders to ensure that information provided is accurate, timely and in accordance with organizational policies and procedures
- Assisting with a range of accounting and purchasing activities, which may include processing of invoices, raising of purchase orders and expense claims
- Pro-actively assisting in the creation and preparation of correspondence, documents, reports, presentations and/or publications
- Providing administration support including but not limited to, arranging and attending meetings, conferences, functions, taking and distributing minutes
- Making travel and accommodation arrangements for internal and external customers
- Managing Director calendar/diary activity where required
- Using company systems - expenses, purchase orders, invoices, visitor notification, VEEVA, company intranet etc.
- Ensuring all business activity comply with all relevant acts, legal demands and ethical standards, as well as internal policies and industry specific governing bodies (Medicines Australia, TGA etc)
- Attending and contributing to administrative assistant meetings
- Participating in cross functional team initiatives as appropriate
- Supporting & providing cover to the admin team during leave or peak periods
- Arranging travel and other logístical arrangements for Key Opinion Leaders (KOLs) and team members, also attending domestic and overseas congresses and Company supported exhibitions where applicable
- Maintaining department budgets
- Assisting with the preparation of marketing materials
**Skills & Experience**
Your current and most recent experience should address the below key selection criteria:
- Intermediate/Advanced experience of working with MS Word, PowerPoint, Excel, Outlook & Teams
- Previous knowledge of working with SAP systems is preferred
- Previous experience successfully operating in a similar clerical or administrative role, specifically supporting at director/manager level and supporting multiple people in a team environment.
- Track record of outstanding organizational skills and exercising appropriate judgement in setting priorities, while maintaining discretion and confidentiality at all times
- Proven ability to build relationships and collaborate with people at all levels both inside and outside our organization, able to influence without direct authority
- Demonstrated ability to prioritise and manage multiple competing tasks, responding in a timely, effective manner.
- Excellent written and verbal communication skills
