Based in Sydney office, the Office & Facilities Coordinator role will report to the CEO, APAC (based in Sydney, Australia) with a dotted line to the Regional Facilities Manager APAC (based in Manila).

The person in this role will be responsible for maintaining the highest standards in Sydney office for local team and visitors and support our other Australian Offices (Melbourne & Perth).

**Office Management**
- Day to day office management of Sydney office. Ensuring smooth operations of the office including but not limited to managing vendors and suppliers, including landlord, maintenance, H&S, business continuity etc.
- Under the direction of the CEO APAC and Regional Facilities Manager APAC ensure maximum utilization of the office space by creating functional and welcoming workplace.
- Organize staff entertainment events (e.g. office lunch) to increase team’s social engagement in line with global initiatives (social events calendar)
- Support onboarding and offboarding staff including conducting facilities induction/office tour.
- Ensure that pantry stocked and cost related track.
- Supporting key departments as and when required by other Australian offices (Melbourne & Perth)

**Facilities Management**
- Provide support of facility renovation/improvement/relocation projects as and when required.
- Review expenditure against budget, analyse and report upon material budget variances.
- Provide reporting and information for budget planning for facilities-related costs.
- Analyse and propose improvements to existing processes including but not limited to booking couriers, security, H&S.
- Ensure full compliance with Australia’s legislation for matters related to office health & safety under the supervision of the Global Facilities Department.

**IT Support**
- Under the direction of IT Team, maintain asset register for IT equipment, keep track of all changes.
- Support handling of IT equipment for new hires and leavers (laptops, small IT peripherals)

**Financial**
- Using company systems (Netsuite) ensure timely delivery of invoices, purchase orders, supplier compliance reconciliation,
- Process and track expense reports for office purchasing card and CEO card.

**HR support**
- Support new hires and leavers with setting up workstation, desks assignment, desk booking intro, ergonomics assessments (for both remote and office based)

**Qualifications**
- 3+ years of directly relevant experience on a fast-paced global company.
- Excellent written and verbal communication skills.
- Multi-tasking and time-management skills, with the ability to prioritize tasks.
- Knowledge of facilities standards, policies, metrics, and best practices.
- Resourceful self-starter with strong prioritisation skills and consistent attention to details.
- Tackles projects, BAU operations and ad hoc tasks with an organized and thorough approach.
- Strives for continuous improvement of the workplace user experience by adapting processes and design of physical environments.
