**Position Description**

**Fortstone is a fun and dynamic company with a team that is quickly growing into the developing residential apartment space as an integrated service provider.**

This position is a strategic role intended to support the field services team that provides property services to residential apartment complexes in Melbourne and Perth. Services consist of property maintenance, Cleaning and Facilities Management. This position will also deal with customers daily to assist with enquiries about their properties and our services.

To be successful in this role, you will possess the necessary skills to uphold Fortstone’s brand, reputation and core values in delivering services to the properties and customers. As part of the Customer Service team, you will participate in the continuous improvement of delivered services and provide valuable insight into customer satisfaction, opportunity, retention and turnaround.

As the property administrator, you will work collaboratively as part of an energetic team and support staff to attend to their scheduled work across the property maintenance, cleaning and Facilities Management divisions.

**Relevant Duties**
- Work across Fortstone’s Facilities Helpdesk, aid customer enquiries, and ensure the various property systems are adequately monitored and actioned.
- Act as a conduit between Fortstone’s service divisions with a high-level approach to ensure efficient and timely communication internally
- Assist with preparing quotations and service reports
- Oversee the new properties on boarding and site establishment process, resourcing and administrative tasks that support the onsite team to get up and running
- Assist with efficient staff resourcing across all properties
- Oversee required formal reporting as scheduled, where Facilities Management services are provided
- Assist with marketing material and social media from time to time
- Provide support to accounts in administrative tasks and invoicing jobs on completion
- Develop a trusting relationship with Owners Corporations and Owners Corporation Managers
- Direct relevant enquiries to relevant personnel within the business with a clear understanding of priority and time frame on actions to close the loop
- Understand the particulars of each client contract and mitigate shortfalls in service delivery
- Liaise with the Maintenance, Cleaning and Facilities Management team to help deliver the contracted services
- Administer required property reporting to the Owners Corporations and Owners Corporation Managers
- Ensure matters that are identified and reported by the internal team are reported to the appropriate clientele
- Ensure relevant reported items are communicated to the OC Manager or OC Committee within required time frames
- Report internally on service performance in line with customer and contract expectations/satisfaction

**Skills**

Prior experience in an administrative property role will be beneficial.

**Systems**

You will be provided with the use of all Fortstone Systems to ensure continuity across the business. Though Fortstone is in a constant state of improvement, all input into systems is welcomed.

**Equipment**

You will be provided with all the necessary equipment and IT to satisfactorily complete your role.

**Salary**: $47,645.59 - $75,000.00 per year
