**THE ROLE**

We are seeking an outgoing and proactive **Administration Officer **to assist our clinicians and practice manager. This role delivers both general administration and reception functions to the Intrinsic Allied Health Centre Ipswich. Reporting to the onsite Practice Manager (PM), this position is located in the Ipswich practice but also provides off-site support for the three satellite sites of the practice.

**Working days: Monday - Friday**

**General responsibilities**

**Administration**:

- Create a warm and welcoming environment for each and every patient, making it a personal experience for them and setting our practitioners up for success.
- Provide information to clients and their families presenting to the practice or making inquiries by phone, ensuring that all enquiries are dealt with in a confidential and sensitive manner.
- Answer phones, book and confirm appointments and enter new client details on computer software.
- Maintain accurate records and security for petty cash, process clinic payments, receipting and end of day reporting/reconciliation
- Effective scheduling of client appointments for all clinicians.
- Review and make changes where required to maximise productivity in the diary.
- Provide support to each clinician to ensure their day runs smoothly.
- Organise clinic’s cleaning/maintenance/day to day appearance.
- Assist in the set up and pack-up of the centre, ensuring the rooms are left in a clean and tidy state at the end of each day.
- Write service agreements for clients with input from clinicians.
- Assist the PM to identify, establish, improve and maintain administrative processes.
- Identify client issues with payment and escalate to the PM as required.
- Assist with equipment management and maintenance.
- Ensure adequate supplies of consumables, such as stationery, printer, and kitchen supplies.
- Assist in new staff induction of with regards to administrative processes.
- Assist in administrative functions for meetings and events, including catering, invitations and RSVPs, room bookings and IT support.
- Other duties consistent with the position where required and/or requested by management from time to time.

**REQUIRED SKILLS**:

- Previous experience in an administration role.
- Previous experience within the Healthcare and/or NDIS space (_preferred_)
- Competence in computer-based appointment booking and billing systems, word processing and spreadsheets, and Microsoft Office Suite.
