**The Opportunity**
This is an exciting opportunity for a self-motivated individual to establish and operate records management processes and products in accordance with relevant standards, policies and procedures. You will be responsible for ensuring that Business Units comply with records management procedures and meet compliance requirements. You will also be responsible for providing specialist advice and services in a range of records and information activities to all levels within the organisation.
**Duties and Responsibilities**
As a Records Administrator you will:
- Deliver TRIM administration and provision of a training and assistance to users.
- Provide advice on policy and procedural matters to enable the effective management of Transgrid’s corporate records, both physical and electronic.
- Develop and implement appropriate TRIM training for new starters
- Manage system access and security settings
- Modify and redefine the system settings to meet Transgrid requirements
- Ensure appropriate records and information management requirements are applied and adhered to throughout Transgrid
- Assist in managing the content of The Wire Controlled Document library including currency of the content in accordance with established business rules
- Run monthly reporting on overdue Controlled Documents and corporate-wide Business Practices Documents
- Follow-up and escalation of overdue Controlled Documents and corporate-wide Business Practices Documents
- Maintain Controlled Documents, corporate-wide Business Practices Documents and templates in TRIM and on The Wire
- Ensure compliance with procedures for the archiving and disposal of Corporate Documents and Corporate Records.
- Ensure documents are reviewed and approved as per the approved framework
- Conduct regular discussions, education and reviews with business unit document controllers
- Contribute into controlled documents procedures reviews
**Skills & Experience**
What we expect from you:
- Certificate IV qualifications in quality, information, or records discipline, and extensive experience
- Well-developed written and verbal communication skills
- Integrity and commitment to ethical practice, equity and diversity.
- Good interpersonal, presentation, negotiation and liaison skills
- Comprehensive understanding of TRIM functionality
- Comprehensive understanding of TRIM administrative functions
- Good understanding of records and document management principles and practices
- Knowledge and experience in quality procedures
- Ability to work independently, as well as part of a team, and plan effectively to ensure deadlines are met
- High level of interactive skills to provide advice, training and incidental advice to management and staff
