**Job Title**
Executive Assistant & Team Coordinator
**Job Description Summary**
Executive Assistant & Team Coordinator works closely with internal stakeholders to coordinate systems and processes in the assigned service line/state to ensure the team is able to deliver high standard services to the clients and achieve revenue targets. Executive Assistant & Team Coordinator may perform some Team Coordinator and/or Executive Assistant duties as required.
**Key Responsibilities**:
- Coordinate internal team meetings, video conferences, and external stakeholder engagements.
- Prepare high-quality presentations, reports, submissions, and documentation.
- Maintain professional branding across a suite of team documents nationally.
- Plan and execute client events in collaboration with our internal marketing team.
- Build and maintain strong working relationships with internal and external stakeholders.
- Coordinate internal processes and systems to streamline team operations.
- Track renewals, invoices, and financials to support accurate reporting and forecasting.
- Ensure timely delivery of internal and external communications.
- Monitor and maintain key team workflows and task lists.
**Qualifications & Technical Skills**:
- Minimum 3 years’ experience in a senior Executive Assistant or high-level administrative role.
- Real estate industry background is advantageous but not essential.
- Exceptional interpersonal and written communication skills.
- Excellent attention to detail, time management, and the ability to handle competing priorities.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an intermediate level or above.
- Demonstrated ability to work both independently and as part of a team in a fast-paced, dynamic environment.
- Experience with document formatting, office coordination, and team operations.
