The Opportunity*
Ready to join a market-leading disrupter that is already one of Australia’s most successful eCommerce businesses? We are currently hiring for an Office Manager/EA superstar to ensure the smooth running of our various interstate locations, while working closely with our Co-Founder and CEO. We see this as a part-time opportunity (30hrs p/w), spread across either 4 or 5 days, allowing you the flexibility to balance your life outside of work. Although you’ll be based at Pet Circle HQ in the CBD, you’ll also be comfortable working from our Eastern Creek facility once per week.
**As the EA/ Office Manager, you will be responsible for;**
- Extensive diary management for our CEO and other Executives. Scheduling appointments, booking meetings/meeting rooms and managing reminders.
- Managing the travel and itinerary of our CEO, while also managing travel arrangements for our wider teams (domestic and international).
- Expense management, online payments, processing minor invoices as required.
- Handling confidential information with professional discretion
- Organising events such as company offsites, networking lunches, in-house events such as our ladies at Pet Circle quarterly functions.
- Coordinating Board meetings
- Editing and formatting reports, presentations and charts (using Google Suite)
- Ensuring all our Pet Circle offices across Sydney, Brisbane and Perth are humming. Stationary and groceries are fully stocked, our workspaces are fully operational, our environment is kept clean, tidy and functional.
- Ensuring meeting rooms are set up and ready for use. Tech is operational and ready to go.
- Work with building management for any repairs or issues to ensure mínimal disruption to our team.
- Assist with onboarding and orientation for new hires.
- Supporting a safe office environment (assuming the role of Fire Warden, First Aid Officer, WHS Committee).
- Broader administrative duties, such as printing, binding, collating and running errands when required.
- Everything and anything else that will ensure our CEO is well supported and our office’s run smoothly day in, day out
**The Person**
- We’re looking for someone who is self-motivated and full of initiative You’re a roll-your-sleeves up type of person, with low ego and the drive to help out wherever needed. You take pride in your role and seek to create homely office environments, while ensuring our CEO is focused on the things that matter. Your ability to work autonomously with little direction is one of your key strengths. You anticipate needs and always think two steps ahead while thriving in a fast-paced environment where ambiguity and change are your best friends
- You’ve previously worked as an EA, so understand the in’s and out’s of the role, and you know how to manage an office space that creates a warm and welcoming environment. Your positive attitude and sunny disposition are infectious and you genuinely live and breathe Pet Circle’s core values.
- Naturally, you’re a highly trustworthy individual, capable of maintaining discretion - you’ll be privy to highly sensitive, commercial information and need to be trusted by all those you work closely with.
