**Project Administrator**. As a
**Project Administrator** at
**Wave International**, you will play a crucial role in supporting the smooth and efficient operation of our projects. Your primary responsibilities will include document control, RFIs (Request for Information), meeting minutes, compiling and formatting documents, maintaining registers, and handling various ad hoc duties.
**Responsibilities**:
- Document Control:
- Ensure all project documentation is accurately recorded, categorized, and easily accessible.
- Monitor document revision and distribution processes to ensure up-to-date information is available to the project team.
- Collaborate with stakeholders to ensure proper document control procedures are followed.
- RFIs (Request for Information):
- Coordinate the RFI process, including the issuance, tracking, and distribution of RFIs to relevant parties.
- Maintain an organized record of all RFIs and responses for future reference.
- Follow up with stakeholders to ensure timely and accurate responses to RFIs.
- Meeting Minutes:
- Attend project meetings and accurately record meeting minutes.
- Prepare and distribute meeting minutes to stakeholders in a timely manner.
- Follow up on action items and ensure their completion within the specified timeframe.
- Compiling and Formatting Documents:
- Gather project-related information from various sources and compile them into cohesive documents.
- Ensure consistent formatting and branding of project documentation.
- Review and proofread documents for accuracy and clarity.
- Maintaining Registers:
- Create and maintain registers for project-related information such as contracts, change orders, and submittals.
- Regularly update registers to reflect the current status of each item.
- Assist with the tracking and reporting of key project metrics.
- Ad Hoc Duties:
- Support the project team with various administrative tasks as required.
- Assist in the preparation of project reports, presentations, and other deliverables.
- Handle general office tasks, including filing, scanning, and data entry.
**Qualifications**:
- Proven experience in project administration or a similar role.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in document management systems and MS Office Suite.
- Ability to work independently and collaborate effectively in a team environment.
- Prior experience in the engineering industry is a plus.
