**Key duties and accountabilities**
- Proactively manage/coordinate property maintenance and contracts for properties acquired as part of the project in accordance with Legislation, contractual requirements and departmental policy, procedures and processes
- Prepare documentation in relation to repairs and maintenance on acquired properties, this can include but is not limited to work orders, procurement documentation and approval documents
- Coordinate property inspections as required
- Implement appropriate administrative processes and procedures relevant to the management/coordination of acquired properties
- Liaise with agents, contractors, councils, departmental staff, other government agency representatives and various other stakeholders, both internal and external in connection with acquired properties to residential tenancies and body corporates
- Assist in the drafting and formatting of large and complex documents and reports
- Provide a broad range of business, administration and project support tasks to the Project Director, Project Managers, and broader team members
- Monitor and maintain storage of information into the document management system
- Update and maintain various registers and spreadsheets
- Management and maintenance of office and personnel protection equipment supplies
- Organise meetings required by the team, including room bookings, IT capability, catering, distribution of meeting invites, agendas, recording of minutes, carparking and so on
- Provide procurement, finance, project controls and HR support
- Ensure compliance with WH&S obligations
**Key capabilities**
- 24+ months experience in similar project administration role
- Able to provide high-quality administrative support with strong attention to detail
- Communicates effectively with internal and external clients to provide responsive, accurate and relevant information and services
- Good initiative when responding to challenges in a pressured and changing environment
- Effective problem-solving ability
- Able to exercises tact, diplomacy and discretion when required
- Prioritises and uses time effectively
- Must have the right to work in Australia and be willing to undergo a Police Check
- Must be fully vaccinated for Covid
