**About the Role**:
Reporting to the CEO, the role will be primarily responsible for strong, reliable support to the business by overseeing and supporting all administrative duties to ensure smooth and effective functioning of the office.
The position will be Permanent Full Time and based in Mulgrave, Victoria.
**Responsibilities**:
- Provide high level administrative support and assistance to CEO and/or other assigned leadership staff.
- Perform administrative tasks including but not limited to drafting letters, memos, invoices, reports, and other documents.
- Organise events, arrange travel and accommodation for employees.
- Manage office/kitchen supplies inventory and place orders as necessary.
- Provide other administrative support as necessary including performing functions to support leave coverage, scheduling group meetings, maintaining calendars, doing research, creating presentations and reports to a high standard, arranging security passes, organising office repairs, and maintaining records.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Monitor access of visitors to the office, provide support to new starters, manage external suppliers and handle general enquiries.
- Identify opportunities for process and office management improvements, design and implement new systems.
**About You**:
You will be an all-rounder who prides oneself on owning the role and has experience in all facets of office management. Above all else, you must have a proven ability to juggle multiple tasks at once and efficiently change focus when required to meet the business’ immediate needs.
You will have:
- A desire to take ownership of the management of the office
- Experience in office management and general administration
- Experience in client-facing roles
- Experience in data entry / database management and advanced level of Microsoft Office knowledge
- Excellent written and spoken communication skills
- High attention to detail, focused and reliable.
- Excellent organisational and inter-personal skills.
- The ability to present professionally when liaising with clients.
- Most importantly, you will be approachable and willing to help no matter what the task with a positive, proactive attitude.
