**What you will bring to this role**:
- 2-5 years proven previous experience in a similar role is a must
- Demonstrated experience in adhering to strict confidentiality policies and procedures
- Experience working with multiple IT systems and software including Microsoft Office and CRM
- Proven ability to take initiative and develop and manage information and office systems
- Accounts payable & data entry experience advantageous
- Experience working in construction administration advantageous.
- The ability to gather, input and monitor information
- The ability to build rapport and work as a team with key internal and external stakeholders
- Strong, proven organisational & multi-tasking skills
- Excellent written, verbal and interpersonal skills
- Previous construction administration knowledge advantageous
- Logical thinking for problem solving and multi-tasking
- Comfortable and openness to learning and working with new software systems
- High level attention to detail and accuracy
- High level of personal integrity

**Your key responsibilities will include**:
- Office Management - take the lead on the administrative functions of the office
- Coordinate the Contract Administration and Office Management functions of this civil construction company to ensure the smooth and efficient running of projects and the office
- Record and distribute meeting minutes for all internal construction team meetings
- Assist construction management and project teams with various administration duties where required
- Management of office inventory including purchasing of materials for projects & acquiring updated supplier price lists
- Safety Administration - including management of daily work dockets and inputting information from work dockets into system + the control and updating of all safety registers/files
- In collaboration with Contractor Administration, preparing HSEQ safety packs at commencement of new projects
- Maintaining health, safety and compliance documentation
- Management of fleet including vehicle registrations
- Maintaining servicing software, Gearbox, for all machinery & weekly follow up of OHS Site Safety Walks and Toolbox Meetings
- Maintain and control sub-contractor insurance including public & products liability and Workcover insurance policies
- HR Administration - maintain employee register, prepare and proactively induct along with the coordination of outsourced HR provider services
- Information Technology Management - coordination of outsourced IT provider services
- Asset Management - fuel card management along with vehicle, plant and equipment registers
- Accounts Administration support as required
