About the Role:
As we continue to expand nationally, we are looking for a motivated, detail focused Contracts Administrator to support our Estimating & Project Delivery teams. This role will suit someone who enjoys structure, thrives in a fast paced environment & takes pride in supporting the successful delivery of quality projects.
About the Role:As a key support to our Estimator and Project Managers, the Contracts Administrator will be responsible for the day to day coordination & administration of commercial projects. Your work will directly contribute to smooth project operations and client satisfaction.
Key Responsibilities:
- Support the preparation & administration of subcontractor agreements
- Manage and track supplier & subcontractor purchase orders, ensuring alignment with budgets
- Liaise with subcontractors to obtain compliance documentation (licences, insurances, SWMS) and maintain up to date records
- Assist with the preparation & submission of monthly progress claims, variations, and project documentation
- Collaborate with Project Managers to monitor budgets, cost commitments & project forecasting
- Prepare and compile project-specific Operations & Maintenance (O&M) Manuals at completion
- Ensure all project documentation is accurate, compliant and stored systematically
- Assist with internal reporting, contract closeouts and project handovers
- Minimum 2 years' experience in a Contracts Administrator or Project Coordinator role (preferably in HVAC, building services or construction)
- Understanding of subcontractor procurement, compliance & contract administration processes
- High attention to detail with excellent organisational & time management skills
- Strong written & verbal communication skills – confident liaising with suppliers, contractors & internal teams
- Sound working knowledge of Microsoft Office; experience with SimPRO or similar software is highly desirable
- A proactive, solutions focused attitude and the ability to work independently while supporting a broader team
