As a result of growth across all areas of our business, we are seeking a motivated, enthusiastic and experienced Administration Coordinator. This is a dynamic and rewarding role and will suit someone who likes to be busy, has excellent communication and inter-personal skills, is resourceful and has the ability to multi-task. As the tasks in this role will vary from day to day, no two days are ever the same. We require a person that can adapt to changing circumstances and varying workloads, ensuring that quality work is delivered and an impeccable eye for detail is always maintained.

This position will appeal to someone who would like the opportunity for growth and to work within a close knit team.

**Primary Responsibilities**

Scheduling and preparation of audits with clients.

Arrange and distribute travel bookings and itineraries.

General administrative support and management of client files.

Perform clerical duties, including but not limited to: collating, modifying, proofing and publishing documentation.

Maintain electronic filing system.

Assisting Client Services Manager with accreditation requirements.

**Secondary Responsibilities**

Meet and greet clients.

Set up and coordinate meetings, workshops and training sessions.

Maintain and distribute meeting minutes.

Conducts professional work without detailed supervision but with guidance on unusual features and is usually engaged on more responsible assignments requiring substantial professional experience.

**Requirements**:
**Experience requirements**

Experienced Employees will have a minimum of 3 years’ relevant experience in Administration or related Support roles. Experience within a logistics position would be highly advantageous.

**Knowledge/Skills requirement**

Display a high level of administration, communication and coordination skills for the office incorporating the ability to liaise and consult effectively with personnel at all levels, within and external to the organisation, and the ability to prepare and present quality written material.
- A commitment to excellent customer service.
- Excellent written and verbal communication skills.
- Superb interpersonal skills, including the ability to quickly build rapport with both clients and auditors.
- Experience using technology for a variety of tasks.
- Excellent problem solving skills and the ability to come up with solutions quickly and effectively.
- Able to work comfortably in a fast paced and dynamic team environment.
- Able to embrace change
- Ability to work well under pressure
- Ability to work unassisted when required
- Familiarity with a management system, international standards and the certification process would be highly desirable
- Familiarity with the following systems would be desirable (Accelo, BambooHR, Onboard)

**Line Management**
- Reports directly to the Client Services Manager.
