**The Position**
The Executive Assistant to the Group Executive - Technology, is an integral part of our Technology business Leadership Team. You’ll successfully partner with our Group Executive to efficiently maintain a high performing function, coordinating both time and diary, as well as prioritising workflow to help ensure the most efficient use the Group Executives time.
This is a pivotal role that demands exceptional time management and organisational skills, an eye for detail and respect of confidentiality, a proactive and flexible attitude and ability to work autonomously in a stakeholder-dynamic environment. Additionally, your ability to quickly build strong professional relationships are crucial in your day-to-day.
**Here’s what your day would look like**
- Manage the Group Executives diary appointments and preparation/flow of information to ensure that our people, business partners and clients feel they receive an accessible and responsive service from the team. This includes liaison with other executives and staff, industry bodies, regulators and other external organisations.
- Manage requests for information from internal and external stakeholders and provide a professional first point of contact for all enquiries.
- Manage the Group Executives commitments and resulting workflow to ensure high priority tasks are completed and followed up as required, sufficient time is available to do so, and all necessary information and briefings are provided.
- Manage communication to ensure information flow and/or re-assignment of responsibilities is handled as required - A high degree of judgement is necessary to ensure the needs of all parties are balanced appropriately
- Prepare and participate in the Group Executives leadership team meetings and other required meetings and events across the business.
- Manage the key administration for the Group Executive including distribution lists, expenses, travel requirements, purchase orders, invoices contract/ agreement processing and approvals in conjunction with Legal, Risk & Compliance.
- Facilitate sharing of information and best practice amongst AU business EA cohort.
- Support the leadership team with onboarding and off boarding of employees
- Support staff engagement by taking a leadership role in the organisation of town halls and other engagement activities
**What we are looking for**
We are searching for a professional who will join us in striving to live our values of bold, warm and honest, in everything we do.
- Strong experience in a senior partnering Executive Assistant role.
- Expert proficiency with Microsoft Office products to assist with the key day-to-day responsibilities listed above.
- Experience in SharePoint is an advantage.
- Confidence in managing conflicting priorities and manage realistic expectations across stakeholder groups.
- Prior industry experience in the financial services sector is highly regarded, although not essential.
