
Office Manager

The Office Manager will be responsible for overseeing the full scope of administrative and operational duties to ensure our clinic runs efficiently and professionally. This is a hands-on leadership role requiring strong organisational skills, excellent communication, and the ability to multitask in a busy dental environment. You will work closely with the Principal Dentist and the clinical team to ensure high standards of service, patient care, and compliance.
**Key Responsibilities**
- **Practice Operations**:Oversee the day-to-day running of the clinic, ensuring all administrative and support functions operate smoothly and efficiently.
- **Team Leadership**:Supervise and support the front desk and admin team, fostering a positive work culture and encouraging teamwork, accountability, and continuous improvement.
- **Patient Coordination**:Manage appointment scheduling and patient flow, optimising the booking system to minimise wait times and enhance the patient experience.
- **HR and Staff Management**:Handle staff rostering, recruitment, onboarding, performance management, and ongoing training to support a skilled and motivated team.
- **Financial Administration**:Manage daily banking, invoicing, accounts receivable, and assist with financial reporting, ensuring accurate records and strong financial controls.
- **Compliance & Safety**:Ensure the practice complies with all relevant legislation and standards, including infection control, WHS, and privacy regulations. Maintain up-to-date documentation and reporting.
- **Procurement & Inventory**:Manage supplier relationships and oversee ordering and stock control of clinical and office supplies to ensure cost-effective purchasing and avoid stock shortages**.**:
- **Process Improvement**:Identify areas for operational improvement and implement systems and procedures that enhance workflow efficiency, patient satisfaction, and team productivity.
**About You**:
- Minimum 3 years of experience in a office/ practice management role (preferably dental or healthcare)
- Strong leadership and people management skills
- Excellent multitasking, problem-solving, and time management abilities
- Familiarity with dental practice management software
- Solid understanding of payroll, invoicing, and procurement processes
- Professional written and verbal communication skills
- A patient-focused attitude with a proactive and solutions-oriented mindset
- Qualifications in business administration or healthcare management (desirable)
Pay: $75,000.00 - $85,000.00 per year
Schedule:
- 8 hour shift
