The role is a part-time role, 6.0 hours per day, Tuesday through Friday in office.

The Executive Assistant at Brite Services provides high-level administrative support to the CEO, Board of Directors, and other executives. Responsibilities include managing the CEO's calendar, scheduling meetings, coordinating travel arrangements, and preparing minutes, reports, presentations, and correspondence. They also serve as a liaison between the CEO, Board, and other stakeholders to ensure effective communication and collaboration. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Reporting to the General Manager - Corporate Services, the Executive Assistant ensures the smooth operation of the CEO's office through effective management of the CEO's schedule, communication, information, and office logistics. They facilitate good communication between the CEO, the Board, and other stakeholders, and support continuous improvement efforts by identifying opportunities to streamline processes and enhance efficiency. Maintaining confidentiality is also a crucial aspect of this role.

**Executive Support**:

- Provide essential support to Brite’s Board of Directors on behalf of the CEO, including serving as a key point of contact, coordinating meeting logistics, communications, reports, minutes, and other materials as required.
- Manage confidential and sensitive information and documentation with appropriate discretion.
- Prepare and format reports, presentations, documents, agendas, and minutes.

**Additional Responsibilities**:

- Travel Coordination: Arrange all travel arrangements for the CEO, including flights, accommodations, and itineraries.
- Expense Management: Manage and reconcile expense reports and ensure they are submitted in a timely manner.
- Project Management: Assist in coordinating projects and initiatives on behalf of the CEO, including tracking deadlines, communicating with stakeholders, and ensuring deliverables are met.
- Event Coordination: Assist in planning and executing events, such as meetings, conferences, and company functions.
- Research and Analysis: Conduct research and provide summaries or reports on various topics as requested by the CEO.
- Board Meeting Preparation: Assist in preparing materials for board meetings, including agendas, presentations, and minutes.
- Conflict Resolution: Help resolve conflicts or issues that may arise within the executive team or between departments.
- Professional Development: Stay updated on industry trends and best practices to enhance your skills and knowledge.

**Other Responsibilities**:

- Positively and proactively represent Brite to external contacts at all opportunities.
- Behave in a way that contributes to a workplace that is free from discrimination, harassment, and bullying or intimidating behavior at all times.
- Operate in line with Brite policies, procedures, and work practices (e.g., financial, human resources, etc.).
- Ability to show initiative and work autonomously, self-managing daily, weekly, monthly, and annual tasks.

- Communicating effectively and professionally with a diverse range of stakeholders.
- Maintaining a proactive approach to all duties and seeking areas of continuous quality system improvements.
- Accurately identifying non-compliances or potential risks to the organization and working to resolve these.
