Employment Basis: Full time

Positions Purpose: take and manage bookings, ensure the efficient day-to-day operation of the office, and support the work of management and other staff.

Job Details:
Reception
- Answer general phone enquiries using a professional and courteous manner
- Direct phone enquires to the appropriate staff members
- Reply to general requests promptly and accurately
- Greet clients/suppliers/visitors to the organization in a professional and friendly manner

Scheduling
- Take customer booking requests
- Establish capabilities in relation to booking request
- Book all works at mutually beneficial times
- Provide daily job worksheets for operations teams
- Prepare WHS paperwork requirements

Office Administration
- Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
- Sort incoming mail and courier deliveries for distribution
- Forward voice mail from the general mailbox to the appropriate staff member
- Purchase, receive and store the office/site supplies ensuring that basic supplies are always available
- Code and file material according to the established procedures
- Update and ensure the accuracy of the organisation's databases
- Back-up electronic files
- Provide secretarial and administrative support to management and other staff
- Make travel, meeting and other arrangements for staff
- Coordinate the maintenance of office equipment

Management Support
- With management, prepare meeting agendas and supporting material for distribution
- Ensure the timely distribution of material to management
- Support the management with meeting, travel and other arrangements
- Draft minutes of management meetings for review by the Executive Director
- Create action list for management staff from meetings

Remuneration Package:

- Superannuation as per legal requirements
- Holiday and sick pay in accordance with Modern Award

Hours: 9am-5pm (Mon-Fri)

**Salary**: $41,663.50 - $66,000.00 per year

Schedule:

- 8 hour shift
- Monday to Friday
- Morning shift

Ability to commute/relocate:

- Brisbane South QLD: Reliably commute or planning to relocate before starting work (required)

**Experience**:

- Office administration: 2 years (required)
