**What you'll do**
The Information Management Specialist is responsible for designing, configuring, and maintaining document libraries and structures, within the Viasat Office 365 environment and other structured document repositories. This role ensures effective migration, governance, and lifecycle management of critical business documents and records, aligning with Viasat and V-IG organizational policies, security requirements and best practices in information management. The position plays a central role in ensuring compliant, efficient, and user-friendly information practices across the International Government Business Unit.
**The day-to-day**
**Office 365 Configuration & Design**:
- Design, implement, and optimize document libraries, metadata structures, taxonomies, and SharePoint/Teams workspaces.
- Create and maintain workflows, permissions, and access controls to ensure secure document collaboration.
**Document Management & Migration**:
- Lead or assist in the migration of documents from legacy repositories to Office 365, ensuring mínimal disruption and data integrity.
- Map metadata and ensure appropriate classification, tagging, and storage of migrated content.
**Technical Writing**:
- Reformat key documents into standard formats when required.
**Template Management**:
- Develop, standardize, and maintain document templates.
- Ensure templates meet brand, regulatory, and accessibility standards.
**Information Governance & Policy Support**:
- Contribute to the development, implementation, and communication of information governance policies and procedures.
- Ensure practices align with policies, AIIM, ARMA, and other relevant standards (e.g., ISO 15489, GDPR, CCPA where applicable).
**Records Management**:
- Administer records management processes across the full information lifecycle, including creation, use, retention, archiving, and disposition.
- Monitor and enforce retention schedules, legal holds, and disposition workflows within Office 365.
**Compliance & Risk Management**:
- Support audits, eDiscovery, and compliance checks related to information management practices.
- Identify and mitigate information risks by ensuring appropriate controls are in place.
**Training & Change Management**:
- Deliver workshops, training sessions, and documentation to support end-user adoption of information management tools and best practices.
- Act as a liaison between teams, business units, and support groups to ensure alignment on information management goals
**What you'll need**
- Bachelor’s degree in Information Management, Library Science, Computer Science, or related field (or equivalent experience).
- 3+ years of experience in Office 365 (SharePoint, Teams, OneDrive) configuration and administration.
- Strong knowledge of records management and information governance frameworks (AIIM, ARMA, ISO, NARA).
- Familiarity with document migration strategies, metadata design, taxonomy management, and retention policies.
- Excellent communication and stakeholder management skills.
- Ability to design and deliver end-user training and documentation.

- Certified Information Professional (CIP) - AIIM.
- Information Governance Professional (IGP) - ARMA.
- Certified Records Manager (CRM) - ICRM.
- Australian National - Baseline security clearance
