**About the role**
As a Project Administrator, you will be working closely with a team of highly proficient Engineers and Designers. You will be responsible for coordinating and managing multiple projects and providing administrative support to the Project Lead or Design Manager.
**Qualifications**
- Minimum of 5 years’ experience as a Project Administrator or similar role with a background on design and construct (D&C) company, engineering consulting or in the professional services industry
- Has at least 2 years’ experience working directly with a CEO, director, and senior management team
- Willingness to participate in company training and workshops
**Skills and Experience**
- Demonstrated experience in project support and administrative coordination
- Demonstrated experience in working with a CEO, director, or senior management team
- Demonstrated effectiveness in verbal and written communication
- Demonstrated skills in the identification of issues in the workplace and problem-solving
- Ability to work well under pressure and tight deadlines
- Ability to act with professionalism and confidentiality
- Proficient in Microsoft Office and project management tools
Desirable skills but not essential as training will be provided:
- Flexibility to adapt and implement the use of new apps and software
- Experience in the use of Xero, 12d Synergy and Projectworks.io
**Tasks and Responsibilities**
- Monitoring of timely submissions of timesheet
- Assists in timely and accurate submission of design packages
- Assists in onboarding of new project staffs
- Assists in contract preparation
- Maintains staff files for project requirements such as inductions, certifications, assessments and audits
- Assist project leads in the preparation of reports, project updates presentation, and other documents as needed
- Keeping track of submission dates of report and packages, deadlines for time and cost reporting and invoicing cycles
- Provide external assistance by coordinating with clients, suppliers and sub-contractors for monthly reports, and other needs.
- Attends coordination meetings and prepares minutes of meeting
- Taking care of the office workspace, mail, equipment and supplies.
- Managing Travel Roster and Accommodation Bookings
- Managing and maintaining project records, ensuring that information is accurate, up-to-date and stored
- Provision of document control as required, including maintaining master drawing files, ensuring documents are scanned and uploaded into the EDMS system
- Communicating and liaising with clients, external vendors, subcontractors, and stakeholders for administrative purposes
- Performing all duties in accordance with company policies, processes, reporting, systems, and procedures
