This dynamic role will be suitable for an ambitious experienced **Administration Officer **to join our team through an exciting period of growth.
We are seeking a proactive and detail-oriented Administration Support professional to streamline operations and enhance team communication. In this role, you’ll work closely with the Site Manager, establishing a collaborative working relationship to ensure smooth day-to-day operations. Your responsibilities will include a variety of administrative tasks and maintaining the SKG system, with a key focus on effective communication and support to our employees, service providers, suppliers, and clients.
**Key Responsibilities but not limited to include**:
- Provide helpdesk support nationally working as a team with shared responsibilities
- Support and action all client escalations and work on external portals
- Maintenance of data, equipment registers, compliance, site lists, and other operational requirements
- Accept and process Adhoc work orders by ensuring service order/s have been organised and issued to the service provider as per client requirements
- Prepare quotation of Adhoc work from existing and new clients
- Action and close off client escalations by providing support to the area managers in engaging the most appropriate service provider within the applicable state
- Monitor the progress of existing escalations by ensuring service has commenced or has been finalised
- Manage and produce any or all reports on a national level required by the operations management team
- Conduct Client and Staff Engagement Calls to assess customer and staff satisfaction
- Record keeping of operational documents
- Completing administration tasks related to the contract, including assigning sub-contractors to service requirement tasks, payroll onboarding compliance, and general administration by verifying and confirming staff is compliant.
- Coordinate with internal departments and external service providers to ensure solutions to client work requests are closed off.
- Assist with documentation and reporting on any OHS Incident, Accident, and near-miss reporting
- Manage all ongoing client inductions
- Provide support with recruitment placement by posting ads on Facebook and community pages
- Maintain and audit client training matrix where required and advise accordingly
- Attend operational meetings as required with operations teams and clients.
