Your Opportunity

As the Operations Coordinator, you will:
Provide quality operational advice and support for the overall management of the physical assets of the Properties and Facilities Team.

This position reports to the Manager, Properties and Facilities

This is a Permanent Full Time position.

The position will be based primarily at the Southport Campus however you may be required to perform work at other TAFE Queensland campuses.

Key Responsibilities

As system administrator, maintain the TAFE Queensland Gold Coast maintenance and asset information system (Archibus), including end to end management of work orders, ensuring data integrity, trouble shooting, online job requests, as well as generating and preparing reports for distribution to various relevant stakeholders.
As system administrator, maintain the TAFE Queensland Gold Coast 'Repair' app to ensure distribution of maintenance requests to Site Operational Leads at respective Campuses within the Region
Support building and maintenance activities across nominated campuses, including any outages (power, water, gas, communication) and arrange action via the appropriate contractor or internal personnel, which in addition to maintenance of the Archibus FM asset management system with respect to building maintenance activities.
Provide quality advice, identify maintenance issues, and assist the manager with the formulation of maintenance plans for TAFE Queensland Gold Coast including maintaining up to date Building maps across all campuses within the Region.
Manage a comprehensive record system on all vehicles in the fleet including leases, insurances, replacement collections, disposal, service, repair, and maintenance of vehicles, the use of vehicle keys, logbooks, home garaging parking/access cards and fuel dockets and report to management as required on the status of the TAFE Queensland Gold Coast motor vehicle fleet.
Provide administrative support for the Properties and Facilities Team, including reconciling of Building and Asset Services (BAS) invoices, corporate card transactions and processing invoices for utilities.
Provide support to both external and internal clients and contractors by managing service supply, including security identification issuance, site inductions, repairs, and compliance with building codes and workplace health and safety regulations, while maintaining the Issue Tracking System.
Manage Key Register for the TQGC Region.
Model and actively promote an ethical and safe work environment that supports a culture of zero harm and best practice regarding health, safety, wellness, and sustainability.

How you will be assessed

The ideal applicant will be someone who has the following key capabilities:
Demonstrated experience managing maintenance and asset information systems, such as Archibus, ensuring data integrity, troubleshooting issues, processing work orders, and generating reports for distribution to stakeholders.
Proven ability to support building and maintenance activities across multiple work sites by organising work demands to ensure deadlines are met.
Well-developed communication and interpersonal skills including the ability to effectively liaise, consult and negotiate with a broad range of internal and external client groups.
Demonstrated ability to establish and maintain administrative systems and processes, including the use of computer software packages and reporting.
Displays the initiative, attitude, and ability to thrive within a dynamic, challenging and changing environment.
