As Operations Coordinator, you will be required to implement plans and processes within operations to grow and deliver DMS services. You are required to lawfully carry out your duties, following requirements for DMS group/program/individual activities aimed at supporting and assisting persons with a disability in their living and/or community environment. You are expected to present a positive and professional image of DMS when interacting with clients, family members, advocates, service providers, funding bodies and the general community.
- **Duties and Responsibilities**:_

**Applicants and Participants**
- Manage New Participate Intake - end to end coordination and management
- Manage and assist in completing access request forms
- Assist participants to communicate with the NDIA when required to support and develop their plans
- Sign up service agreements with participants and answer their questions
- Develop Rosters to suit participant needs and allocate skilled workers to that roster
- Develop and implement supports and activities for the betterment of participants and the business
- Develop and co-ordinate participant excursions, incursions and social events
- Develop and execute strategies for individual participant retention
- Develop initiatives creating strategies to retain current participants and grow the DMS brand
- Assist with Recruitment of new participants

**Support Workers**
- Supervising Support Workers and the services provided to participants
- Proactively managing support services to ensure DMS is providing positive supports for participants
- Provide training in policies, procedures, and NDIS requirements to support workers as advised by Operations Manager
- Coordinate and assist with the recruitment of Support Workers
- Rostering of Support Workers
- Ensure Support Workers have the knowledge to comply with requirements to interact with the CRM system, accept shifts, record their work times and relevant feedback and notes
- Adhoc problem solving with Support Workers for participant needs
- Provide feedback to Operations Manager regarding Support Workers and Participants
- NDIS, Workplace Health and Safety and Quality
- Provide advice and direction in resolving potential NDIS applicant issues
- Maintain NDIS policies, procedures and required forms to ensure DMS compliance
- Conduct internal audits of DMS system to NDIS standards and requirements, and provide feedback of compliance and continuous improvement
- Assist the Operations Manager as the key contact for external NDIS audits
- Conduct, maintain and file risk assessments of participants, participant properties, and DMS properties in conjunction with Support Workers and Operations Manager
- Advise risks and recommendations from risk assessments to Operations Manager
- Maintain up to date knowledge of NDIS requirements, and develop communication materials relevant to, and for Support Workers
- Maintain DMS policy and procedures manuals
- Maintain Workplace Health and Safety manual
- Adherence to the developing quality systems of DMS, and assistance to Support Workers with adherence to quality systems

**Connections**
- Build and maintain professional, client focused relationships with stakeholders
- Promote DMS to gain and maintain a greater public presence
- Assist with DMS events
- Assist in the development of creating documents such as handbooks, flyers and social media content
- Help create relationships with service providers across the disability and community care sectors
- Generate leads and referrals

**Support Coordination**
- Build NDIS participant and family capacity to understand and navigate service system
- Support participants and carers to understand their NDIS Plan, goals and objectives
- Ensure all organisational and administrative reporting and accountabilities are completed accurately and in a timely manner
- Contact the client as soon as possible after the handover with the NDIS planner, ideally within 2 days and meet with the client within 5 days
- Deliver coordination of supports to individuals with an NDIS plan:

- Research, coordinate and manage complex and intersecting supports to suit individuals needs across multiple providers, ensuring client choice & control
- Work with mainstream service providers including negotiating services and prices to ensure maximum value for money is achieved and service obligations are met
- Support participants to build their capacity, resilience and networks with the aim of greater choice and control and independence in managing their personal choices
- Work with participants to access and navigate the My place portal to establish service bookings and service agreements
- Arrange any assessments needed to determine the nature and type of funding required
