**About the Role**
The Administrative Officer in the School of Biomedical Sciences (SBS) will provide high-quality administrative support to a department, working in partnership the Head of Department, Strategy and Operations Manager and Senior Administrative Officer to ensure smooth running of the Department’s operations. The Administrative Officer will support key administrative functions, including event management, communications, and financial tasks, while adhering to university policies and liaising with stakeholders in a service-oriented environment.

Your responsibilities will include:

- Provide administrative support to ensure efficient running of the day-to-day activities within the Department, including completing routine administration processes such as mail, contact lists, office equipment and stationery supplies, assist with staff inductions processes.
- Provide executive support for nominated department committees, arranging meeting reports, committee papers, agendas, minutes, and correspondence as required, including and updates to organisational charts and terms of reference documentation.
- Prepare, track and issue casual contracts as directed by the Strategy and Operations Manager.
- Maintain currency of the Department websites. This includes regularly reviewing and updating content, reviewing research group webpages and initiating updates with relevant researchers. At times you will be required to work closely with School/Faculty/University Communications and Marketing teams for more significant architectural changes or for auditing requirements.
- Ensure that distribution lists, shared document storage and communication systems at the Department are up to date, functional and fit-for-purpose.

**Who We Are Looking For**
You will bring the ability to provide high-quality administrative support, demonstrate strong organisational and problem-solving skills, and effectively handle various tasks in a service-oriented environment. You will have an exceptional ability to work with tact, diplomacy and maintain confidentiality while keeping stakeholders informed of the progress of requests in a changing environment.

You will also have:

- A degree or an equivalent combination of relevant experience and/or education/training.
- Well-developed professional organisational skills including the ability to coordinate workflow, prioritise tasks and meet deadlines in a fast paced environment, whilst paying attention to detail.
- Excellent communication and interpersonal skills including a strong customer focus with the ability to interact with a diverse range of stakeholders.
- Demonstrated ability to work independently and as part of a team.
- Ability to plan and organise efficiently, manage competing priorities and complete projects within stringent timeframes.
