The global Group consists of ASPECT’s senior executives, function leaders and their teams, including Finance, Marketing, Human Resources, Information Technology and Commercial. Together we collaborate with design studios across the world to support and drive business strategy and operations.

Based out of Melbourne, you’ll find most of the Group team in our converted warehouse in the laneway heart of the CBD. With the Melbourne design studio only a 5-minute walk away, you’re never far from our creative hub, public transport, and good coffee

The Role
As part of our global Executive team, the Group Administrator plays a critical role in enabling our senior teams to lead the practice. Taking day-to-day direction from the COO, this is a diverse position providing broad operational support to the Executive Group, and targeted support to a number of key individuals.

The Group Administrator will coordinate a number of projects and administrative duties, including:

- Coordinating the Executive calendar of meetings (e.g. monthly global all-hands, quarterly operational updates, strategy workshops and Board meetings) - scheduling, agendas, recordings, minutes etc.
- Administering ASPECT’s corporate travel program
- Office coordination (contractor/supplier management, ordering, catering, security etc.)
- Organising Group-wide initiatives and events
- Ad hoc administration, including research, presentation-building, drafting communications etc.

This position is full time, based in-office 5 days per week. Flexibility will be provided to support international collaboration.

About You
The diversity of this role and its stakeholders will lend itself to someone who loves to problem-solve, collaborate, write, and project manage. We are looking for someone who can proactively and confidently manage up, who can summarise complex information articulately, and who is comfortable operating flexibly within a framework.

Although not essential, experience in a creative and/or project-based businesses will be highly regarded, as well as experience supporting Board members (directly or indirectly).
