**Kip McGrath Education Centres** has recently expanded and is seeking an experienced **Executive Assistant**. A 4-day working week within the Barangaroo Office. You will work directly with the Head of Growth & New Market Delivery and the Australian Operations Manager. Your role will be varied and exciting as you can utilise your skills and knowledge to assist the team to achieve their business and development goals.

**In this role you will be responsible for**:
- Greeting and welcoming visitors when required: Act as the first point of contact for all guests and clients, ensuring a professional and friendly experience.
- Scheduling and coordinating appointments: Maintain calendars, schedule meetings, and make travel arrangements for Head of Growth, Corporate Centres Operation Manager, Corporate Centres Property Manager, or other staff members as needed.
- Administrative support: Assist with general administrative tasks, such as preparing reports, presentations, and correspondence. Maintain office supplies and assist with corporate centre supplies.
- Corporate Centre Support: Triage Corporate Centre Support Jira Queue ensuring allocated to the correct person and enough information has been supplied.
- Corporate Centre Support: Manage the corporate centres reward and recognition program including printing and sending awards and prizes and posting social media centre recognition.
- Corporate Centre Support: Assist with the creation and postage of reward recognition letters for students. Ensure the postage of welcome packs for all new students to Kip McGrath.
- Corporate Centre HR Onboarding: Issuing contracts and communicating with newly appointed staff.
- Corporate Centre Accounts: Issuing of invoices to government/NGO accounts and ensuring timely payment. Assisting with debtor communication as required.
- Confidentiality and discretion: Handle sensitive information and maintain strict confidentiality when dealing with sensitive matters or documents.
- Records management: Organise and maintain physical and electronic files, ensuring proper documentation and efficient retrieval of information.
- Meeting coordination: Arrange and coordinate meetings, including booking conference rooms, preparing agendas, taking minutes, and distributing meeting materials.
- Assist with the organisation of Corporate Events including conference and training events.
**ABOUT YOU**
**To succeed in this role you will need the following skills and attributes**:
- Excellent communication skills: Strong verbal and written communication skills, with the ability to interact professionally with visitors, clients, and staff members at all levels.
- Organisational abilities: Strong organisational and multitasking skills, with the ability to prioritise tasks, meet deadlines, and manage multiple calendars and schedules.
- Discretion and confidentiality: Demonstrated ability to handle confidential information with the utmost discretion and maintain a high level of professionalism.
- Professional demeanour: Polite, friendly, and professional approach with excellent customer service skills.
- Attention to detail: Strong attention to detail and accuracy, ensuring that all tasks and correspondence are handled with precision.
- Proactive and adaptable: Ability to anticipate needs, take initiative, and adapt to changing priorities in a fast-paced environment.
- Previous experience: Previous experience in a receptionist or administrative role is preferred.
