We are seeking a highly experienced and proactive Executive Coordinator for a large State Government entity. This position is a critical support role within the association and requires the incumbent to work closely with the Office of the Managing Director across a variety of different tasks and business initiatives and will leave you feeling challenged and purposeful. This position is based in the CBD and offers a hybrid arrangement, although flexibility is required.

**About the Role**
- Support the Managing Director with 1 on 1 requirements such diary management, co-ordination of key meetings and events, project support, written communications, processing invoices and ad hoc support as required.
- Prepare and collate board reports in a timely fashion, as well as follow up on any urgent or complex action points
- Interpret industry information and insights, and prepare written correspondence on behalf of the Officer of the Managing Director
- Liaise and consult with internal and external stakeholders, with the ability to negotiate and influence those at senior levels. All stakeholder management to be carried out with the companies brand and reputation at the forefront of mind.
- Triage incoming correspondence and tasks for the Managing Director office, and manage workflows to ensure all action points are completed in a timely manner
- Assist in recruitment and onboarding of other administrative positions, as well as allocate secretariat amongst the broader Executive Coordinator cohort
- Use autonomy to make complex business decisions; and implement process improvements on existing working procedures
- Orchestrate a collaborative and collegiate working environment across the larger EC network

**About you**

We are seeking applicants who have demonstrated experience supporting C-suite executives or directors and who enjoy problem solving and working to busy deadlines. Proactive thinking and the ability to pivot rapidly for changing circumstances will be essential skills to possess. Strong stakeholder engagement skills are imperative and the ability to build influential partnerships with other government departments and large retailers.
