**Executive Assistant to General Manager**

Location: Melbourne based

**Your Role**:

- Providing efficient, professional delivery of business and administrative support to two General Managers (GM). Including:

- Ensuring prioritisation and effective use of time - diary and inbox management, scheduling meetings, managing correspondence
- Preparing GMs for week ahead - weekly 1:1 plan ahead meetings and prepare daily packs for GM to review/pre-read prior to next day meetings.
- First point of contact - managing requests and approval process for external speaking engagements.
- People onboarding - support for the team, including hardware and system access.
- Coordinating meetings - internal/external with clients/stakeholders/agencies - including liaising with EA’s and arranging meeting room bookings.
- Proposing and arranging travel and itineraries; managing changes as required.
- Sound budget management - reconciliation of monthly invoices and expenses for the team.
- Providing support to the team - professional approach at all times and a high level of confidentiality and discretion.
- Arranging events/functions/offsites/team building events (including catering where required) as required by the team.
- Active engagement and participation in Leadership Team meetings - coordinating agendas/minute taking/actions and driving delivery.
- Support GM to drive team delivery and outcomes with planned follow ups/reminders/action closing.
- Create, develop and maintain strong relationships with all internal and external stakeholders.
- Work closely with the EA network.
- Adhere to the Code of Conduct. The Code of Conduct sets the standards of behaviour, actions and decisions we expect from our people.

- Previous Executive Assistant experience supporting at an executive level.
- Ability to build and main strong stakeholder relationships.
- The ability to manage workflow, priorities, work well under pressure and be flexible.
- High level of pragmatic professionalism and advanced confidentiality skillset.
- Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service
