**About the role**
As the Project and Administration Officer within the Cultural Venues business unit, you will play a key role in providing efficient, effective, and confidential administrative and project support to assist in delivering business development objectives. You will support event delivery and staff capacity-building programs, including workshops, meetings, and presentations. Additionally, you will contribute to planning workshops, maintain project schedules, and ensure regular tracking, monitoring, and reporting on project progress. A key aspect of this role is liaising with clientele, external consultants, contractors, and internal Council departments to facilitate seamless project delivery and achieve the best outcomes for the Unit.
**What your day will look like**
- Provide confidential administrative support to the Team Leader and the Unit, including managing correspondence, organising documentation, and ensuring smooth day-to-day operations
- Support event delivery and staff capacity-building programs, such as workshops, meetings, and presentations, ensuring effective coordination and execution
- Participate in planning workshops, develop and maintain comprehensive project schedules, and conduct regular reviews to update and track project progress
- Attend project meetings to document key actions, prepare responses for stakeholders, and develop high-quality documents tailored to diverse audiences
- Manage contract administration tasks, including tender specifications, processing purchase orders and invoices, and risk management practices.
**What you will bring**
- Tertiary qualifications in relevant discipline such as administration, with no relevant experience or lesser formal qualification with relevant skills and experience.
- Skills and experience in business operations for delivery of services including understanding of administrative systems and processes for managing finances.
- Experience developing guidelines and procedures for staff, training and development expertise is desirable.
- Demonstrated competency with IT systems for service delivery such as client databases, scheduling and finance systems.
- A continuous improvement mindset with a positive, proactive, and flexible attitude
