**About the role**

We are seeking an experienced **Order Fulfilment Specialist** to provide high-level assistance to new and established clients on a day-to-day basis. Primary responsibilities include placing orders and raising invoices, while coordinating with vendors, account
- and project managers.

The role contributes towards building relationships with customers and internal team members by delivering efficient and accurate procurement of goods, from receiving the request to issuing invoices. Excellent communication and administration skills are required, to ensure that expectations are met or exceeded and orders delivered promptly

**About you**

Responsibilities and Accountabilities:
**Customer Focus**
- Develop rapport with customers in a professional manner, demonstrating efficient administration and customer service skills
- Take ownership of issues that arise, communicate where expectations cannot be met and assist in providing a resolution
- Maintain high levels of accuracy and customer satisfaction, escalating internally where necessary

**Raising Sales and Purchase Orders**
- Check pricing validity dates, stock levels and set up any new product/part numbers in SAP
- Enter sales and purchase orders into SAP accurately, in a timely manner
- Place orders in vendor portals where required.
- Provide customers with an Order Confirmation and enter Estimated Billing Date in SAP
- Process order cancellations
- Enter Serial Numbers on relevant Sales Orders
- Ensure invoices are processed efficiently and in a timely manner
- Provide POD-s and tracking details to customers as required
- Resolve vendor invoice queries posted by Accounts Payable in SAP Work Cycle
- Follow processes in compliance with JSOX auditing requirements
- Ensure all credits and re-bills are completed as soon as possible to minimise debtor days

**Back Order and Stock Management**
- Update ETA-s and provide Back Order Reports for customers, escalate order fulfilment with vendor where necessary
- Release orders to the warehouse
- Communicate any on-going amendments to order status with the customers in a professional manner
- Manage customer owned stock according to customer requirements, provide Stock on Hand reporting

Requirements and Competencies:
**Experience**
- Minimum 2 years in a customer service environment
- Experience in IT industry, professional services and selling environment is advantageous

**Technical competencies**
- High level of computer literacy and understanding of IT principles
- Experience with is strongly SAP preferred
- Experience with Microsoft Excel advantageous

**Non-technical competencies**
- Demonstrated excellence in customer service and administration
- High levels of accuracy and attention to detail
- Excellent written and verbal communication skills
- Courteous and professional demeanour
- Great time management skills
- Ability to work as a part of a team as well as autonomously, taking ownership of assigned responsibilities
- Proactive and analytical approach, strong problem-solving skills
